We are looking for an experienced Executive Assistant to support our executive team. You will manage business-related tasts including creating reports, planning meetings, taking minutes, maintaining calendars, arranging travel, and a variety of other administrative duties. You should have a proactive approach to problem solving and be able to meet deadlines in a fast-paced environment.
Role and Responsibilities
Manage and maintain calendars of executive team – schedule meetings and calls
Plan meetings – reserve appropriate conference room, schedule tele- and/or video conferencing as needs, prepare materials, and order food.
Run weekly and monthly stats from internal databases and update spreadsheets for executive team
Develop and update presentations for a variety of meetings and conferences
Coordinate all logistics for quarterly results summits, including reserving venue, ordering food, and preparing meeting materials.
Make all travel arrangements and create detailed travel itineraries for executive team
Attend executive team meetings and take minutes
Maintain supplies for executive meetings
Qualifications and Education Requirements
At least three years’ experience supporting high level management
Excellent written and verbal communication skills
Advanced MS Office skills, Excel and PowerPoint a must
Ability to multitask efficiently and prioritize daily tasks
Experience supporting multiple executives at once
